Business Case: Providing Audit-Compliant Project Data

Solid and reliably documented data provides the basis for many decisions and analyses. Project information prepared by the PMO for committee meetings, for example, are used to inform decisions regarding the budget, hard allocations of resources, or the schedule of a project. Documenting the decisions themselves (e.g., resource allocations) is also an important step to ensure traceability and not lose momentum.

Taking regular snapshots of data is essential for creating and visualizing trend analyses and is therefore also important. For example, in order to obtain an aggregated view of portfolio investments, managers need data on status, resource planning, and finances.

Overall, regular data backups of project-relevant information are essential for the coordinated change management of projects, for ensuring the traceability of decisions and for providing a baseline for analyses. Clarity already provides you with various archiving functions (e.g., baselines). In some use cases, however, these are not sufficient. Our Solution: Configurable Archiving in Clarity

With our customized solution for Clarity, you can determine which project information should be archived at which point in time depending on your specific use. For example, you can archive selected status information for predefined projects on a monthly basis. Do you also want to archive the cost, benefit, or budget planning? That is up to the users themselves to decide.

Another example might be a major project change that is coming up. You decide what should be recorded and what actions should be performed. For example, in addition to historicizing resource allocations, you might also want to archive key milestones in the project or create a baseline plan.

Using the configurable archiving in Clarity, any data set can be selected for historical archiving. A background command captures the relevant data at a specific point in time or when a given project event occurs and then saves it in a traceable and structured manner. This allows you to access the project information from a particular point in time, whenever you want, even if the real-time data in Clarity has changed in the meantime.
